Auditorium Use Rules

Request use of an auditorium in Arux

• Auditorium spaces are booked on a first come, first served basis.  
• Submit your usage request and technical needs forms no later than four weeks in advance of your event.
  • One request form for each event.
  • Recurring reservations can be on one form.
  • Indicate each date and time you plan to use the space. Your permit will only be good for those times.

Set up details

• Give us your setup requirements by submitting a technical needs form or meeting with our auditorium technician.
  • Changes need to be submitted at least three weeks in advance. They are subject to approval.
• Provide an itemized schedule of for your:
  • Load-in and setup.
  • Rehearsals and performances.
  • Tear-down and load-out.

Unmovable settings approval

• You can't leave sets or equipment on the stage unless you get approval.
• When your reserved time ends, you need to clear the stage for the next group.
• Long-term use of space:  Store all items in an approved way and location when you are not there.

Cancellations

You need to cancel your event at least 5 business days before it's scheduled to take place.

• If you don't show up, we will try to reach you.
• If we can't reach you, your event may be removed from the schedule.

Weather closures

If school is closed due to severe weather, the auditorium may also be closed.

Requirements

• A Community Ed staff member will always be on-site when you are using an auditorium space.
• The group renting the space must also have:
  • A designated person in charge and present at all times.
  • Adult chaperones, when youth groups are using the space.

Multi-day events

Plan for a 15-minute safety briefing on your first day.

Walls and surfaces

Do not tape, tack, or attach anything to walls or wood.

Tape

• Use only the approved tape provided.
• Do not use duct, masking, or packing tape.
• Remove all tape after your event.
• Large amounts of tape may result in extra fees.

Stage floor

• Do not put screws or make holes in the stage.

Glitter, confetti and feathers

• No glitter allowed. Extra fees if used.
• Clean up all confetti and feathers before leaving. Extra fees if you don't clean up.

Special effects

• Get permission to use strobe lights, fog, smoke, haze, or similar effects.
• Only water- or dry ice-based fog/haze is allowed — no oil-based.
• Pyrotechnics, including candles, flash paper, etc., require local fire department approval.

Curtains

Do not move or change stage curtains without permission. Request changes at least four weeks in advance.

Rigging

Must be approved in advance. Someone from our staff needs to be on hand to supervise rigging, hanging or drops on the fly system.

Painting

No painting on the stage.

Meetings and approvals

• At least three weeks before your event, schedule a planning meeting with staff to discuss special staging, lighting or sound.
• Get approval before:
  •  Using any special equipment that connects to the auditorium stage, lighting or sound systems.
  • Recording copyrighted material.
• Bring your own laptop with an HDMI port to run things like PowerPoint, website or music.

Sound and lighting check

• Allow at least 30 minutes before the doors open for your sound and lighting check.

Authorized staff only

Only authorized staff can:

• Access catwalks, stairs, booths and fly areas.
• Run lighting, sound or stage systems.

Stay in assigned areas

• Performers, crew and guests must stay in reserved areas.

Food and beverage

• We only allow re-sealable water bottles in the auditorium and on stage.
• Other food and drinks may be allowed:
  • Only in designated areas.
  • Only with prior approval.

Tap shoes

• You can only wear tap shoes on stage or in the wings.
• Damage to the floor may result in fees.

Leave space as you found it

• All areas and equipment should be clean and in good order.
• Spaces should be as they were when you arrived.
• All scenery, set pieces and equipment should be removed from the space immediately following the final performance.

Inspections

• Users may schedule a before- and after inspection of the facility.
• Our staff will inspect and inventory the auditorium and adjoining spaces before and after large productions.

Damages

Users will be billed for:

• Any damages to space or equipment.
• Any labor required to return the space to good order.
