Facility Use Guidelines

Spaces are only available during these non-school hours.

Elementary school spaces

• Monday to Friday, 6 to 9 p.m. 

Middle and high school spaces

• Monday to Friday, 6 to 10 p.m. 
• Saturday and Sunday, 8 a.m. to 10 p.m. (High school only)

Weekends, holidays and non-school days

• Use is limited.
• You have to pay for a building supervisor and custodian.

• Arrive at the start time listed on your permit.
  • We do not allow early access.
  • Include time for setup after your start time.
• Leave the space by the end time on your permit.
  • Leave it in the same condition you found it.
  • You will have to pay for any damage or extra cleaning costs.
• Do not:
  • Prop doors open.
  • Enter restricted off-limits area.

You must cancel in writing at least five (5) business days in advance of your event date.

If you don't do this:

• You will have to pay for facility use and staff time.
• You may lose your rental privileges.

Overview

Weather conditions may lead to event cancellations.

• All activities are cancelled if buildings are closed due to weather.
• High winds may cause us to close the dome.
• CenterPoint Energy may require us to reduce power due to hot weather.

Overview

Facility users must comply with all district policies.

• Offensive, sexual or violent behavior is not tolerated.
• Use of tobacco and alcoholic beverages or liquor is not be permitted on school property at any time.
• No firearms may be brought on school property for any reason other than an authorized firearms safety program.
• You must follow district, city and state fire and safety regulations.

Indemnification

Facility users are solely responsible:

• For any injuries, damages or claims that result from their use of district facilities. 
• For all costs, expenses and legal fees.
• To defend, indemnify and hold the district harmless for any injuries, damages or claims that result from their use of district facilities. 

Insurance

Facility users must:

• Provide proof of insurance.
• Name our district as an additional insured and the certificate holder.

The district's liability insurance does not provide protection to organizations using its facilities.

• An adult, age 21 or older, must supervise the group at all times.
• The adult must stay with the group and make sure people are following the rules.
• You may lose your rental privileges if there are ongoing problems.

Technology

• During the school year, facility users can access the public WiFi in all buildings outside of school hours.
• In the summer, facility users need to request public WiFi access when they submit their facility use request.
• Facility users can never use the district's internal internet system.

Equipment

• Facility users must have prior approval to add or alter equipment.
• Your permit must include:
  • All audiovisual equipment requests.
  • All groups using the equipment. 
• On-site staff and custodians will not be able to get equipment for groups not listed.

• We do not provide first aid supplies for facility rentals.
• You must have a first aid kit and cold pack on site at all times if you are using gyms, fields and pools.
• You must report accidents and injuries to the on-site Community Ed supervisor.

If you want to set up concessions in school buildings or on school grounds, you need to:

• Get permission from the Community Ed facilities team upon acceptance of your request.
• Obtain all the necessary food services permits from:
  • Hennepin County
  • City of Plymouth
  • City of Wayzata

We bill you every month via email.

• Payment is due when you receive the invoice.
• A $25 late fee is charged each month for overdue payments.

• Some groups may asked to pay in advance.

Tournament use is currently on hold.

• We are reviewing safety and security rules.
• We may accept requests again in 2027.
